REGISTRATION

NOTES:

• (1) Young Scientists need to upload a copy of a proof of age card during online registration.
   

• (2) Students need to upload a Students identification card as well as a copy of a proof of age card during online registration.
   

• (3) Industry rates apply to participants who work for a for-profit company and are funded to attend the meeting by that company.
   

• The respective fees are only applicable if the payments have been credited to the congress account by the respective deadline. Registering before the deadline without performing an actual payment is not sufficient to benefit from the reduction.

What is covered by the registration fee?

• Access to all on site sessions

• Access to all poster sessions

• Access to the satellite symposium

• Access to the exhibition area

• Programme, Abstractbook (online)

• Coffee Breaks are included in the registration fee (coffee, tea, water, cookies)
  
   

• Lunch Tickets will be provided in form of “lunch bags” and need to be pre-ordered and pre-paid by participants.
  Lunch tickets are not available for selling onsite.

• Conference Dinner: Tickets need to be pre-ordered and pre-paid by participants.
  Only a few tickets will be available for selling onsite.

• Welcome Reception: no fee, but pre-registration is mandatory to receive a ticket. It is a “modest” cocktail (approx. 1h) with fingerfood provided and is not supposed to replace dinner.
   

Payment modalities

Payment of Registration Fees, may be made in EURO by:

• Credit Card: Mastercard, Visa and Diners Club.

• Bank Transfer to the conference account until August 18, 2025.

• Payments need to be made without charges for the beneficiary.

• Clearly state the registration number, invoice number and participant’s name when processing the transaction.

• When registering for the conference, you will have to agree to the General Terms and Conditions

Cancellations and refunds

 

Notice of cancellation must be made in writing by e-mail  to the Congress Office: workshop@ehmsg.org

​

Registration fees may be refunded if written cancellation has been received as follows:

• until July 7, 2025: 50% refund

• from July 8, 2025: no refund

​

The cancellation will not be effective until a written acknowledgement from the Congress Office is received. In the case of over-payment or double payment, refund requests must be made in writing and sent to the Congress Office by e-mail. No refunds will be granted for unattended events or early termination of attendance, in case of cancellation of speakers or any other incidents during the conference, which are beyond the control of the conference organisers.

No exceptions to the refund policy can be made, including health or family issues. By registering for the EHMSG conference, participants agree that neither the organising committee nor the congress office assume any liability whatsoever.

Refunds will be made after September 15, 2025
